The short answer
Record each check as a dated entry: which operator or authority you read, what it said and when. Add it to the venue site-visit evidence log, and name one person who updates invitations if an entry changes.
Publish a closure or diversion only when an official source states it for your date, and put the date you read it beside it. Otherwise ask attendees to check the operator before travelling.
Check the operators for the date, then recheck
Highways are run by named operators and overseen by the Malaysian Highway Authority, and both publish traffic information. City roads and venue access follow the council that applies to the address, and the venue itself knows about its own entrances and any works.
Changes can appear close to the date, so one early check is not enough. Plan a recheck shortly before invitations go out and another close to the event.
What to verify before sending invitations
Each check is a question with who answers it.
- Which highway operator or authority covers the main approach roads? Answered by the organiser, from the operator's official page, and logged with the date read.
- Does the venue know of works, closures or restricted access on the date? Answered by the venue, in writing.
- Does the council for the venue's address publish notices for the date? Answered by the organiser, from the portal for that address: DBKL, MBPJ or MBS.
- Do public transport operators publish any service change for the date? Answered by the organiser, from each operator's official page, or recorded as unable to open.
- Who updates the invitation if an entry changes, and by when? Answered by the committee, as one named owner.
How the areas differ for this decision
Different authorities and operators apply by address. A Kuala Lumpur address starts with DBKL, a Petaling Jaya address with MBPJ, and a Seremban or Nilai address with MBS, whose site lists Bandar Nilai among its towns. Highway operators and the highway authority cover roads that cross these areas.
Do not carry a closure from one area's notice to another. Log each by address and date.
