Sharing suppliers across a KL-Selangor-Seremban event series

The series will use the same audio-visual and signage suppliers at every stop, and the first venue's arrangements are being assumed for the rest.

The short answer

Split the supplier scope into a reusable kit that travels with the series and a local gap list for what each venue must supply or allow. Then fix a delivery schedule per stop from that venue's confirmed setup and pack-down constraints.

Plan each stop's slots in the load-in and delivery-slot planner, and keep supplier travel costs separate, as set out in documenting supplier travel and on-site costs.

What goes in the kit and what stays local

The kit is what the supplier brings to every stop unchanged: equipment list, signage artwork, spare items and the setup sequence. The local gap list is what depends on the venue, such as power points, rigging or hanging permission, lift access and storage.

What to verify for each stop

Each check is a question with who answers it.

  • What are this venue's confirmed load-in and pack-down windows, and are they in writing? Answered by the venue.
  • What lift, loading-area and storage arrangements does this venue confirm for our kit? Answered by the venue. This page does not certify any structural or rigging matter.
  • Does this venue restrict what may be fixed to walls, ceilings or floors, or require its own supplier for some items? Answered by the venue.
  • Who owns each item on the local gap list, the supplier, the venue or the organiser? Answered by the organiser by agreement.
  • Does the supplier's appointment cover every stop on the same terms, and who signs off a change between stops? Answered by the organiser and the supplier.

How the stops differ for this decision

For shared suppliers the verifiable difference is the venue's own rules and the authority behind the address. DBKL, MBPJ and MBS publish their own portals for Kuala Lumpur, Petaling Jaya and Seremban, and MBS public material includes Nilai. Any building-management rule is the venue's to state, so the same kit can face different constraints at each stop.

Worked example · Fictional example

A fictional three-stop series

Fictional organisation and figures, for illustration only.

A fictional trade association shares one AV supplier across three stops. The kit list is fixed, while the local gap list shows stop two needs a venue-side power confirmation and stop three restricts wall fixings.

Each gap has a named owner and a date before load-in. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A short series with one supplier and venues that reply promptly in writing.
  • The supplier has worked the format before and holds its own kit list.

Outside planning help earns its fee when

  • Several suppliers must work to one schedule across stops.
  • Venue constraints differ and the gap list keeps growing.
  • A change at one stop affects supplier terms at the others.

Want the shared-supplier plan managed?

Recurring programme management can keep the kit, the gap list and the per-stop schedules in one place and chase each venue and supplier. If that service is unavailable for your dates, the same work can be scoped as an outsourced conference project lead. This is coordination, not supply of technical production. Share the suppliers and the stops.

Questions organisers ask

Can the first venue's setup be reused?

Only the kit. Each venue confirms its own load-in, pack-down and restrictions.

Who owns a gap?

Name one owner per gap, the supplier, the venue or the organiser, with a date.

Should one supplier cover every stop?

It can reduce repeated briefing, provided the terms and any travel costs are written down per stop.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
