Kajang: a clear attendee journey for a seminar

Attendees who cannot find registration arrive late and stressed, so the journey needs to be written down and checked.

Optional: send a short event brief

The short answer

Write one instruction set per arrival method, from the station or the car park to the registration desk, and have someone walk each one before you send it. Include only steps that were checked on site or confirmed in writing by the venue or operator.

Do not assume a step-free route, a direct train connection or a particular entrance. Ask, then record who confirmed it.

One journey per way of arriving

Attendees arrive by train, by car, by ride-hailing or on foot, and each needs a different last stretch. Decide which arrival methods you will support in writing, and leave the rest as general advice.

Each instruction set ends at the same place: the registration desk, with the name of the entrance and floor as the venue gives them.

What to verify for Kajang

Each check is a question with who answers it.

  • Which council covers the exact address? MPKj has its office in Kajang and its portal references Kajang, but a place name may span more than one authority. Ask the venue for its full address and confirm with the council that applies.
  • Which rail service and station will attendees use? KTMB's Komuter page lists routes by terminal stations, and its milestones mention a station named Kajang 2, so check the operator's own station list and timetable for your date.
  • Which entrance leads to registration? Ask the venue for the entrance name, the floor and how it is signed.
  • Is the route from the station or parking to registration step-free? Ask the venue and the operator in writing, and do not assume it.
  • Where may attendees park, and on what terms? Ask the venue or the car park operator, and record the answer.
  • Who staffs the desk and the route on the day? Ask your team and the venue who is posted where.

How Kajang differs from neighbouring areas for this decision

This page owns the arrival-instruction set for a seminar. For a multi-room learning day in Bangi see Bangi. For the fit of a local venue see Semenyih.

The council and station to check are the practical difference. Build the instructions with the delegate arrival instructions builder and see the Selangor brief for the wider area.

Worked example · Fictional example

A fictional society writes its arrival instructions

Fictional organisation and figures, for illustration only.

A fictional dental technicians' society plans a seminar for about 60 attendees. A committee member walks the route from the station and from the car park and notes each turning and sign.

The walk shows one entrance is closed to visitors, so the instructions name the entrance the venue confirmed in writing. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • One arrival method covers nearly everyone and a committee member can walk it.
  • The venue confirms the entrance and route in writing.

Outside planning help earns its fee when

  • Attendees arrive several ways and the instructions keep drifting from what is on site.
  • Nobody on the team can walk the route before the date.

Want the arrival instructions built and checked?

An Event Blueprint can set out one instruction set per arrival method, list what the venue and operators must confirm in writing, and assign who walks each route. A project lead can collect those confirmations and update the instructions. Send your venue address and the arrival methods you expect.

Questions organisers ask

Is there a direct train to the venue?

This page does not assume one. Check the operator's own station list and timetable for your date.

Is the route step-free?

Do not assume it. Ask the venue and operator in writing and record who confirmed it.

Which council covers Kajang?

MPKj is based in Kajang, but confirm the exact address with the council that applies.
