The short answer
Put both options on one sheet: the total quoted cost including what delegates pay themselves, the programme each format can hold, and what attendees say they prefer. A rail-linked daytime venue and a residential package are different products, so compare complete totals and programme fit, not the headline rate.

What each option has to include to be comparable
A daytime quote and a residential quote rarely list the same things. Convert both to the same inclusions before comparing.

- Daytime option: room hire, catering, equipment, and any cost delegates bear for travel or an overnight stay elsewhere.
- Residential option: accommodation nights, meals, meeting rooms, equipment, and what happens to delegates who do not stay.
- Both: service charge, taxes and any minimum commitment, as written in the quote.
- Both: what changes if numbers fall or rise after confirmation.
What to verify for a rail-linked or residential choice
Each check is a question with who answers it.
- Which rail service do you mean, and does it serve your date? KTMB's pages describe Komuter, ETS and Intercity services and name transfer stations such as KL Sentral, but a station near your venue is not named on the pages read, so ask the operator. Answered by the operator.
- Does the venue state in writing how delegates reach it from the station? Ask for its own description and record the source. Answered by the venue.
- What do quotes include and exclude for each option? Add them yourself. Answered by the organiser from supplied quotes.
- How many attendees would stay overnight if offered, and how many would decline? Ask them with the same question. Answered by attendees.
- Does the programme need evening sessions or only daytime ones? Answered by the programme owner.
- Which authority covers the address of each option? Confirm the council from its own portal or ask the venue. Answered by the venue and the council.
How the two formats differ for this decision only
The difference that can be verified is what is written in each quote and what attendees report. Rail access is something to check with the operator, and a residential package changes the programme because the group stays together.
