Separating attendance certificates from accreditation

Delegates ask for CPD points, and the secretariat has a certificate template that says attended but nothing about credit.

The short answer

An attendance certificate records that a person was present. Professional accreditation or credit is a decision of the relevant accrediting body, under its own rules, and it is stated on the certificate only in the words that body approves.

Keep the two documents separate in design, wording and timing, and do not describe points, hours or recognition until the body has confirmed them in writing.

Two documents, two owners

How to keep them apart

  1. Ask the responsible body, in writing, what wording may be used before approval, and what may not.
  2. Design a certificate that says attended and nothing else, unless the body supplies approved wording for a credit line.
  3. Hold any credit line out of marketing, registration pages and the programme until the body confirms.
  4. Record how attendance is verified, for example sign-in per session, so the organiser's own certificate is supported by evidence.
  5. If delegates need to claim credit themselves, tell them to check the requirements with their own professional body.

Questions to put to the accrediting body

  • What may we say about accreditation while an application is pending?
  • What attendance evidence do you require, per session or per day?
  • Is the credit tied to named sessions only?
  • Do you require your own wording, logo or reference number on certificates?
  • How do changes to the programme after approval need to be reported?

Worked example · Fictional example

A certificate that promised too much

Fictional organisation and figures, for illustration only.

A fictional accountants' forum prints certificates reading Attended and 6 CPD hours before any body has confirmed. Several delegates register for the event expecting credit.

The secretariat corrects the template to state attendance only, sends the corrected wording to the accrediting body for confirmation, and holds the credit line until a written answer comes back. Delegates are told what has and has not been confirmed.

Certificate wording checklist

Run each certificate template through this list before printing.

  • The certificate states attendance only: name, event, date, issuer.
  • Any accreditation or credit line uses wording supplied in writing by the accrediting body.
  • No points, hours or recognition appear anywhere before written confirmation.
  • Any reference number or logo is used only on the body's written permission.
  • Marketing, registration page and programme use the same confirmed wording, or none.
  • Attendance evidence for each issued certificate can be shown on request.
  • A named person owns changes to the wording and the date they were last confirmed with the body.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Attendance-only certificates for an internal or member event with no credit claims.
  • The accrediting body already supplies its own template and wording.

Outside planning help earns its fee when

  • Several accrediting bodies with different conditions apply to one event.
  • Marketing, registration and certificates all need aligning to wording that keeps changing.

Need certificate and credit wording kept in step?

A conference project lead can collect the accrediting body's written wording, keep marketing, registration pages and certificate templates in line with it, and track attendance evidence. Whether credit is awarded, and on what conditions, stays with the body.

Questions organisers ask

Can a certificate mention CPD while an application is pending?

Ask the accrediting body what wording it allows. Until it confirms in writing, treat the safe position as attendance only.

Who verifies attendance?

The organiser keeps the attendance record. The accrediting body says what evidence it needs from that record.

Can the same certificate show both?

Only if the body approves the wording of the credit line. Otherwise issue them separately.
