Event press release approval workflow
The draft release has been through four inboxes, and each person has changed a different line.
The short answer
Give the release one drafter, one fact-checker, one named approver and a fixed list of people who see it, in a set order with deadlines. Freeze a version before anyone signs, and send only the frozen version.
Quoted people approve their own words, sponsors approve how they are named, and anything that touches legal or regulated claims goes to the competent reviewer.
Approvals in order
Each reviewer checks one thing. If everyone reviews everything, nobody owns accuracy and the document changes in four directions at once.

Freeze, then send
- Collect every reviewer's changes in one master, with one person accepting or rejecting them.
- Save the result as a numbered version and tell all reviewers which one is being signed.
- If anyone asks for a change after the freeze, create a new version and send it back only to the people it affects.
- Check the materials and translation-version checker if the release exists in more than one language, so translations match the signed master.
- Send the signed version only, and note the date, list and sender in the file.
Quotes, embargoes and corrections
Each quote needs the quoted person's written yes to the exact wording. Agree any release time with recipients before sending and record it, using the approach in embargo communication and quote approval workflow.
If an error is found after sending, the final approver decides whether to send a correction, to whom and in what words, following the same steps as typo correction workflow.
Sponsor mentions
Sponsor names in a release should follow the signed entitlements, the same ones used in sponsor logo approval. Where an agreement is silent on press mentions, ask the sponsor in writing and record the answer.

A fictional announcement of the programme and keynote
Fictional organisation and figures, illustrative only.
A fictional healthcare administrators' forum drafted a release announcing its keynote speaker and two sponsors. The fact-check found the venue name had changed, and the keynote asked for one sentence of her quote to be shortened.
One sponsor asked for its logo order to follow the agreement. The release carried a health claim, so it went to the sector reviewer before the final approver signed version 3, and only that version was sent to the press list.

Who should be the final approver?
One person with authority to speak for the organisation, such as the chair, secretary-general or communications head, named in advance.
Do all quoted people need to see the full release?
They need to approve their own quote and its context. Sending the full text is simplest, but you can send an extract if the release is confidential.
What if the release is time-critical?
Shorten the chain in advance, not on the day: name a deputy approver and agree a same-day turnaround for urgent items.
