Event handover obligations schedule: what each party hands over

The event is over, the supplier has gone home, and the secretariat realises nobody asked for the final files, the access logins or the snag list.

A handover obligations schedule lists, for each supplier or project lead, what must be handed back at the end: items, format, deadline, receiver and the person who confirms receipt.

Agree it before work starts and attach it to the contract documents. Whether it forms part of the contract is a question for your legal adviser.

Why it needs to be agreed early

Handover requests made after the event meet a team that has already moved on. A schedule agreed in advance turns handover into an expected deliverable, not a favour.

It also protects continuity. If the same event runs next year, or a new secretariat member takes over, the files and decisions are where they should be.

What events usually need handed over

  • Final programme, run sheet and speaker or session files in editable and final formats.
  • Registration and attendance data, in the form agreed in the confidential information schedule.
  • Signed supplier documents, variations and approvals from the contract document checklist.
  • Final invoices, credit notes, receipts and the agreed reconciliation.
  • Logins, admin rights and licences for event websites, registration platforms or apps.
  • Photographs and recordings, subject to the rights agreed in the usage-right questions.
  • Lessons, open issues and a snag list for the next event.

Fields for every line of the schedule

  1. Item: the specific thing handed over, not a general heading.
  2. Format: file type, folder, platform or physical form.
  3. Deadline: a date or a number of days after the event, set with the supplier.
  4. Receiver: a named role at the organiser, such as the secretariat or the treasurer.
  5. Confirmation: who signs off receipt, and how it is recorded.

Tie it to payment, carefully

Many organisers want the last payment released only after handover is complete. Whether that is possible depends on the payment terms already agreed, so raise it when the schedule is drafted, not afterwards.

Common gaps

  • Handover described as all documents with no list of what counts.
  • Files delivered to a personal address of someone who has since left.
  • Platform admin rights held only by the supplier at the end of the event.
  • No one at the organiser named as the receiver, so nobody checks what arrives.

Persatuan Fiktif Jurulatih Profesional uses a project lead, a registration platform provider and an AV supplier for its annual forum. Before the event, the secretariat lists what each must hand back.

The project lead hands over the final run sheet, the decision log and an open-issues list within ten days. The platform provider returns the attendee export in the agreed form and transfers the admin account within fourteen days. The AV supplier delivers the recordings within seven days. The secretariat confirms each item on the schedule before the treasurer approves the last payments.

When should the schedule be agreed?

Before work starts, at the same time as the scope. Adding it later is harder because suppliers have already priced their work.

Can we hold back payment until handover?

It depends on the payment terms already agreed. Raise it with your legal adviser and the supplier when the schedule is drafted, not when the last invoice arrives.

What if a supplier does not deliver?

Record what is outstanding and the dates you asked, remind the supplier in writing, and take the question to whoever signed the contract.

Who receives the handover on our side?

A named role, such as the secretariat head. Avoid personal email addresses and avoid naming someone who may leave.
