Coordinating insurer and takaful partner approvals

An insurer, a takaful operator and an association may all need to approve the same programme page, and each has its own route and calendar.

The short answer

List every partner organisation, the person who can approve for it, the items it must see and the working days it needs. Then build one shared approval calendar from the publication date backwards, and keep every reply on file.

Where the wording touches products, takaful principles or regulated communication, send it to each partner as a question for its own compliance, legal or Shariah-related contact. The organiser collects the answers; it does not decide them.

Why partner approvals run late

Conventional insurers and takaful operators work to different internal routes. One may need only its communications team, while another also routes wording through a compliance function or an internal Shariah adviser or committee.

Nobody outside the partner knows how long that takes. Ask, and write down the answer, before any date is promised to speakers or on the registration page.

Build one approval calendar

  1. Fix the publication date for the programme and registration page.
  2. Work backwards from it using each partner's stated review time, adding a buffer for one round of changes.
  3. Set one close date per item type (speaker names, titles and abstracts, promotional copy, slides) that suits the slowest partner.
  4. Send each partner a one-page calendar and name one contact per partner on the organiser side.
  5. Log every change and approval in a decision log with the date, the approver's role and the version reviewed.

Questions to send each partner

  • Which of our materials must you review, and which can we publish without review?
  • Who in your organisation may approve names, titles and abstracts, and who approves promotional copy?
  • Does any wording about products, protection, returns or benefits need your compliance, legal or Shariah-related contact to confirm first?
  • Are there rules on how your name, logo or staff may appear on stage, in print and online?
  • What is the latest date a change can still be reviewed before publication?

What the organiser should not do

Do not edit a partner's approved wording to fit the layout. Return it with a request, or ask the partner to approve the shorter version.

Do not treat silence as approval. Record "no reply" as open and chase it on a set day.

Worked example · Fictional example

A fictional insurance and takaful forum

Fictional organisation and figures, for illustration only.

The fictional Persatuan Perlindungan Contoh convenes a one-day forum for about 180 delegates with one conventional insurer, one takaful operator and one reinsurer as partners.

The secretary asks each partner for its route. The insurer needs 10 working days. The takaful operator needs 15 working days because its own process adds an internal review. The reinsurer needs 5.

The publication date is set for week 9. Working back from the 15-day partner, speaker names, titles and abstracts close in week 4, promotional copy in week 6 and slides in week 8. Each partner receives the same one-page calendar, and the secretary logs each approval with the date and version.

Questions organisers ask

Do takaful partners need a different approval route?

Ask each partner. Some routes are the same as a conventional insurer's and some add steps. The organiser's job is to learn the route and the time it takes, not to judge it.

Who should hold the final decision?

The convening association, agreed in writing, with a named person. Partners approve their own materials; the association decides the programme.

What if a partner will not confirm review time?

Record that as an open risk, set a conservative date in the calendar and ask again at the next call.

Can we publish before every partner has replied?

Publish only the items each partner has approved. Hold the rest and note which partner is still open.
