Managing broker and intermediary audience categories

A conference for brokers and intermediaries rarely has one kind of delegate, and the categories you choose decide who can enter which room.

The short answer

Define each audience category in one sentence, then decide for each what it can attend, what the organiser asks as proof, what it pays and what data is collected. Publish the categories on the registration page before opening sales.

If any category depends on a licence, registration or membership status, ask the professional body or the employer's compliance contact how that status should be verified, and who does it.

Why categories matter more than headcount

Brokers, agents, loss adjusters, bank-based sales staff, corporate risk managers, students and invited officials all attend events like this, and they do not have the same needs or the same access.

The category drives the ticket price, the badge, which sessions are open, whether the delegate list is shared and who may meet whom. Decide it once, early, rather than negotiating it at the door.

Deciding access and proof

  1. Write a one-line definition of each category in plain language.
  2. For each category, list the sessions, networking and meals it can attend.
  3. Decide whether any proof is needed. If a licence or membership status matters, ask the professional body how it should be checked and record the answer.
  4. Decide who reviews registrations that do not clearly fit, and set a reply time.
  5. Set the policy for changing category after registration, including what happens to the fee.

Delegate list and contact data

Intermediaries are often competitors. Before promising a delegate list, ask the convening body whether it will be shared, with whom and in what form.

Ask your own privacy or data contact how consent, retention and access to registration data should be handled. The registration page should say plainly what is collected and why.

Questions for the professional body

  • Which categories do you recognise, and are there categories we must not create?
  • How should licence or membership status be verified, and by whom?
  • Are there sessions that must be limited to practitioners?
  • May exhibitors and sponsors see delegate lists, and in what form?
  • Who answers a delegate who disputes their category?

Worked example · Fictional example

A fictional intermediary conference

Fictional organisation and figures, for illustration only.

The fictional Persatuan Pengantara Contoh expects about 260 registrations over two days. The committee defines five categories: member practitioner, non-member practitioner, insurer or takaful staff, corporate buyer and student.

Registration data from a pilot shows that 150 would be members, 60 non-members, 30 company staff, 12 corporate buyers and 8 students. The committee decides corporate buyers attend only the second-day client-facing track, and asks the body how membership will be checked.

The secretary sets a three-working-day reply for registrations that do not fit a category, and the badge colours and lunch lists follow the five categories.

How many categories are sensible?

Only as many as have different access, fee or proof. Three to five is common; each extra category needs a rule someone can apply.

Should competitors see each other's details?

Decide with the convening body before registration opens and say so on the page.

Who verifies licence status?

Ask the professional body or each employer's compliance contact. The organiser records who verifies and when; it does not decide eligibility.

Can a delegate switch category?

Set a rule in advance, including fee difference and a cut-off date, and apply it the same way every time.
