Confirming VIP attendance without assuming it

A senior guest has said yes in the corridor, and your programme now depends on a confirmation nobody has seen in writing.

The short answer

Treat a VIP as confirmed only when their own office, such as a private secretary or protocol officer, confirms in writing the person, the role, the time window and the size of any delegation. A verbal yes from the guest or a third party is a status of Tentative.

Track each VIP on one sheet with a status, the confirming person, the date and what may now be shared. Programme, signage and publicity items are released against the status, not against hope.

Who can confirm, and who cannot

The confirmation has to come from someone who controls the guest's diary. For a minister, a royal household guest or a corporate chairperson this is usually an office, not the guest.

Your committee chair or a sponsor may know the guest well and still not be the right source. Record them as the introducer, then ask the office to confirm directly.

Five status levels

Use the same words everywhere in your team so a printed programme is never built on a Tentative.

What to ask the office in the confirmation request

  • Will the guest attend in person, and for which part of the programme?
  • How many accompanying officers or delegation members, with names and titles as they wish to be styled?
  • Is there a time at which the guest must leave, and is the departure time fixed?
  • Who is the day-of contact, and who is the backup?
  • Are there any arrangements the office wishes the organiser to raise with the venue directly?
  • By what date will the office confirm or release the slot?

What to hold back until written confirmation

  • The guest's name and title in any public announcement, speaker list or registration page.
  • Seating, photo-call and arrival plans that assume the guest. Use placeholders.
  • Titles and honorifics: have them checked against titles and honorifics verification and approved by the host institution or authorised protocol office.
  • Any message to other guests that implies who will be present.

Reconfirming closer to the date

Diaries move. Agree with the office at the first confirmation when you will reconfirm and by what channel, and put that date in your tracker.

If the office changes the plan, follow the process in VIP schedule-change communication so the people who need to know hear it from one person.

Worked example · Fictional example

A fictional association confirms three guests

Fictional organisation and figures, for illustration only.

Persatuan Fiktif Logistik Malaysia is holding a one-day conference. Its president tells the secretariat that the chief guest has agreed to give the opening address. The secretariat records this as Tentative, names the president as introducer, and writes to the chief guest's private secretary asking the six questions above.

Two weeks later the office confirms in writing: in person, opening address only, a delegation of two, fixed departure after the opening session. Status moves to Confirmed. The other two guests remain Acknowledged and appear in the draft programme only as provisional entries.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • You have a handful of VIPs and one person who owns the correspondence.
  • The host institution already has a protocol office that answers promptly.
  • The programme can absorb a late replacement without redesign.

Outside planning help earns its fee when

  • Many VIPs, several offices and a committee that talks to guests directly.
  • Confirmations arrive by different channels and nobody holds one list.
  • The programme, seating and publicity all depend on a guest whose office has not yet replied.

Questions organisers ask

Is an email from the guest enough?

Only if the guest's office confirms that the email stands for the diary. Ask the office to acknowledge the details, role and delegation in the same thread so there is one record.

Can we announce the guest once the office says yes by phone?

Ask for the confirmation in writing first, then check the announcement wording and title with the host institution or protocol office. Public naming is a separate approval from attendance.

What if the guest sends a representative?

Treat it as a new VIP. Record the replacement, check title and role again, and review the programme slot with the person who owns the programme.

Where do invitation counts and expected attendance fit?
