Budgeting travel days for an event lead across KL, Selangor and Seremban
An event lead will visit sites in three areas, and the travel days are either planned into the budget or absorbed by someone later.
Optional: send a short event brief

Hi, I'd like to discuss professional-event planning support. Help needed: Not decided Event type: Not decided Event area: Not decided Date: Not decided Approx. attendees: Not decided Reference: EV-0994 / en Page: https://eventconsultant.com.my/en/guides/local-event-planning/budgeting-travel-days-for-an-event-lead-across-kl-selangor-and-seremban/
The short answer
Count travel as working effort: list each visit, assign a day fraction you set yourself, multiply by the rate you have agreed, and show the total next to the working days. Write down the boundaries, such as how many visits are included and what happens beyond them.
This page gives no rates, journey times or legal rules on travel pay. The rates are yours and the legal position is for the parties to the engagement and their advisers.
The effort model
Enter the lines into the event internal effort cost calculator. Keep working time and travel time as separate columns so the client can see both.
- Visit list: each site, its area (KL, Selangor or Seremban area) and its purpose.
- Working time per visit: your estimate of meetings and checks on site.
- Travel time per visit: your own estimate, recorded with the date it was made, because it changes.
- Rate: the day or hourly rate agreed between the parties, not a figure from this page.
- Boundary: the number of visits included and how extra visits are agreed.
What to verify before fixing the budget
Each check is a question with who answers it.
- Will visits be by car, rail or a mix? KTMB's portal lists KTM Komuter and ETS and mentions a Seremban line in an operations notice, and Prasarana lists its rail and stage bus services, so check the operators for your dates. Answered by KTMB and Prasarana.
- Who pays travel costs, and is that written into the scope? Answered by the parties to the engagement.
- Is travel time billed at the same rate as working time? Answered by the agreement between the parties.
- Is there any legal or contractual rule on travel pay that applies to this engagement? This page states none. Answered by the parties' legal or HR advisers.
- How many site visits does the client expect, and when? Answered by the client.
- Which visits can be replaced by a remote check? Answered by the client and the venue.
How this differs from journey buffers
This page budgets effort and cost. It does not set journey times for the programme day; that sits in event travel buffers. Area scopes are in Kuala Lumpur, Selangor and Seremban and Nilai.
Worked example · Fictional example
A fictional association with three sites
Fictional organisation and figures, for illustration only.
Persatuan Fiktif Pengurusan Tenaga plans six site visits: three in KL, two in Selangor and one in the Seremban area. The lead enters a day fraction per visit and the agreed rate.
The model shows working days and travel days separately, and a boundary of six visits. A seventh visit needs the committee's approval. Figures are illustrative.
Use this yourself
Work-and-travel effort model
Fill with your own estimates and agreed rates. Re-date the travel estimates when they are rechecked.
| Visit | Area | Working day fraction | Travel day fraction | Rate (supplied) | Estimate date |
|---|---|---|---|---|---|
| Total | |||||
| Boundary: visits included |
Handle it in-house, or bring in help?
Your team can usually handle this when
- Few visits in one area and a simple rate.
- Travel is clearly written into the agreement.
- The client accepts a stated boundary.
Outside planning help earns its fee when
- Visits across three areas with changing dates.
- The rate structure mixes day rates and expenses.
- Nobody has time to keep the model updated as plans change.
Want the effort model drafted?
A project lead can draft the work-and-travel model with you, set the boundary of included visits and prepare the scope wording for the client. Terms and rates remain yours to agree. Send the site list, the dates and the rate approach.
Questions organisers ask
Does this page set travel rates?
No. Rates are agreed between the parties.
Is there a legal rule on travel pay?
This page states none. Ask your legal or HR adviser.
Why record the date of a travel estimate?
Estimates change, so the date shows when it was last checked.
Is there a local office?
No office is claimed. On-site arrangements are agreed for the particular brief.
