The short answer

The planner puts your stops in order and checks each move to the next stop on the same day. The time needed is the first stop's pack-down, plus the journey range you entered for that pair, plus the next stop's setup, compared with the gap between the two briefings.

Travel is never assumed to take no time. If a journey range, setup or pack-down is missing, that transition is shown as unknown, and the circuit is not called feasible while anything is unknown.

What to gather first

  • For each stop: the date, briefing start and end, the setup time the team needs before the start and the pack-down time after the end.
  • For each pair of stops that follow each other: your own shortest and longest door-to-door journey time, from a driver, a trial run or another source you trust.
  • The team's availability, if it is limited, and the preparation tasks with their minutes.

How each transition is judged

Each transition is checked twice, once with the shortest journey and once with the longest. If even the shortest does not fit, it is impossible. If only the shortest fits, it is tight. If the longest fits, it fits the ranges you entered.

A result of fits the ranges means no conflict was found on the numbers you gave. It is not a promise that the day will run to time.

Reusable and local tasks

Reusable tasks, such as one master slide deck, are done once for the whole circuit. Local tasks, such as a room and AV check, are repeated at every stop.

The tool totals both, so you can see how much preparation is shared and how much grows with each extra stop.

Limits

The planner holds no distances, traffic patterns or journey times. A journey window is only as good as its source, so ask the driver or run the route once before relying on it.

A fictional one-day circuit

A fictional company runs briefings in Kuala Lumpur, Shah Alam and Seremban on one day, then Nilai the next day. Kuala Lumpur ends at 11:00 and Shah Alam starts at 13:30, with a journey range of 40 to 75 minutes, so it fits even on the longest journey.

Shah Alam ends at 15:30 and Seremban starts at 16:30 with a range of 60 to 110 minutes, so that move is impossible even on the shortest journey. The change to Nilai is on a different day, so it is not checked for travel.

Your team can usually handle this when

  • There are two or three stops, journey times are known from a trial run and the team is the same at every stop.
  • Each stop has its own local host and your team only needs to check the timings.

  • Speakers, a small team and local hosts have limited availability that must be matched across several towns.

Questions organisers ask

Does the tool know journey times between KL, Selangor and Seremban?

No. You enter your own shortest and longest times from a source you trust, and the tool holds no journey times of its own.

Why does the result say unknown?

A journey range, setup or pack-down time is missing for a move. The tool does not guess, and it will not call the circuit feasible until every move is known.

Can I enter zero minutes of travel?

Yes, if you really mean it, for example two briefings in the same building. A blank is treated as unknown, not as zero.
