The short answer

The calculator multiplies the hours each role spends on the event by a loaded hourly rate that you type, and adds them up as an opportunity cost. It shows the value of the time your own people give, not money that anyone is owed.

Unpaid hours do not become a cash invoice. Cash actually paid is entered in its own column and totalled separately, and no rate or salary benchmark is ever supplied or assumed.

What to enter

  • A row for each role, using roles rather than names.
  • Hours spent on the event, and a loaded hourly rate: what an hour of that role is worth to your organisation, however you work that out.
  • Optional travel hours, with one choice for how to treat them: count at the same rate, show separately, or leave out.
  • Optional cash actually paid for those hours, for example paid overtime.

What opportunity cost means here

Opportunity cost is what that time could have been worth if spent elsewhere. It helps a board see the true size of the effort that sits behind a low-cost event.

It is not a bill, a debt or a salary. Nobody invoices anybody for it, and the tool says so beside the total.

Rates and travel are your decisions

The tool does not know your people or your market, so it supplies no rate. A role with hours but no rate has unknown cost and is left out of the total with a warning. The tool never fills the gap with a guess or a salary benchmark.

Travel time is treated only as you choose. If you enter travel hours and choose nothing, they are not costed and the tool tells you so.

Limits

The estimate is only as good as the hours and rates you enter. Use it to compare scenarios and to explain effort, not to bill anyone or to set pay.

Worked example · Fictional example

A fictional member conference

Fictional figures, to show the calculation.

The committee chair gives 30 hours at RM 120 an hour, and the secretariat coordinator gives 120 hours at RM 60 an hour with RM 800 paid as overtime. A finance volunteer gives 25 hours but no rate is entered. Travel is shown separately.

The opportunity cost for the two rated roles is RM 3,600 plus RM 7,200, which is RM 10,800. The finance volunteer's cost is unknown and left out. The RM 800 paid overtime is shown as cash actually paid and is not added. Travel time is listed on its own.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A small team, an agreed way of valuing time and a board that just wants a sense of scale.
  • No money changes hands for the hours.

Outside planning help earns its fee when

  • The event is stretching volunteers or staff and the committee needs to decide whether to buy in capacity.
  • Roles and hours are unclear and nobody has seen the whole workload.
  • A project lead or embedded manager could take part of the workload against an agreed scope.

Questions organisers ask

Does this create a bill for the committee?

No. It is an opportunity-cost estimate. Unpaid hours stay unpaid and nothing is owed to anyone.

What rate should I use?

That is for you to decide. The tool supplies no rate or salary benchmark, and a role without a rate is left out of the total.

How is travel time handled?

As you choose: counted at the same rate, shown separately or left out. If you choose nothing, travel hours are not costed.

Is cash actually paid included in the opportunity cost?

No. It is totalled separately and is never added to the opportunity cost.
