You are about to open sign-ups for a multi-session series and need to decide whether members register once or session by session.

The short answer

Register once when the sessions form a path and you want to follow progress. Register per session when sessions stand alone and attendance varies widely. A hybrid works for many series: one registration for the series, with an opt-out or confirmation step per session.

The decision turns on what you need to know about each person, how much data you must hold, and who will send reminders.

The hybrid that suits most professional series

Register once for the series and ask for a light confirmation before each session, such as a reply or a click in the reminder. This keeps one record per person and gives a realistic head count a few days ahead.

Anyone can drop out of a single session without leaving the series.

Data questions to settle before the form is built

  • What is the least information needed to run the series? Name and organisation are often enough.
  • Which details are needed once (membership number, role) and which per session (questions for the speaker)?
  • How long will the list be kept after the series ends, and who deletes it?
  • Who sends reminders: the secretariat, the platform or an outside supplier?
  • Will attendance be used for professional development records? If so, ask the accrediting body what it needs.

Decisions the secretariat should record

  1. Choose the model and write the reason in the series brief.
  2. Agree the fields and mark each as required or optional.
  3. Decide the reminder schedule and who approves wording.
  4. Decide how the attendance list is reconciled after each session.
  5. Name the person who closes and clears the list at the end of the season.

A secretariat choosing between two models for an eight-session series

Persatuan Fiktif Pengurus Fasiliti ran an eight-session monthly series. In the first season members registered per session, and the secretariat found about one third of those at session one never appeared again.

For the second season it moved to one registration with a confirmation click three days before each session. The head count it reported to speakers became more reliable, and it kept one list instead of eight.

Is one registration for the series always simpler?

It is simpler for members, but it can inflate head counts and send reminders to people who will not attend. A confirmation step before each session usually fixes both.

Can we use the series list to promote other events?

Only if the purpose notice on the form said so. Check the wording with your own data protection lead before reusing the list.

What should we do with the list after the series ends?

Set a retention date in advance, name who deletes it, and keep only what you need for the attendance record you promised.
