The short answer

Ask for one biography per speaker, to a stated length and in the third person, with a deadline, and tell speakers who will edit it and who gives final approval. Keep the speaker's approved version as the only one used.

Send the request with the invitation pack or the speaker logistics form, record it on the confirmation tracker, and feed approved text to the speaker briefing generator.

Decide where the biography will appear

The same biography may go into the printed programme, the website, the app, the stage script and the moderator's pack. Each place has a different length limit, so decide which versions you need before asking.

Ask for a short version and a longer version at the same time. This saves a second round of requests.

  • Short version for the programme or screen, with a word limit set by the designer.
  • Longer version for the website or app, if used.
  • Spoken introduction for the emcee, if one is used, which the speaker approves.

What the request should state

  1. Give the word limit or limits and say whether first or third person is preferred.
  2. State the deadline and the reason, for example the print date.
  3. Say who may edit for length or style, and that the speaker sees the edited version before it is used.
  4. Ask the speaker to confirm the name, title and organisation as they should appear, and to flag anything that must not be included.
  5. If a photograph is requested, say where it will appear and ask the speaker whether they agree.
  6. Ask whether anything in the biography needs approval from the speaker's own organisation.

Editing without changing meaning

Edit for length and consistency, not for impressiveness. Do not add qualifications, awards or affiliations that the speaker did not provide.

If a claim cannot be verified, ask the speaker to confirm or remove it. Titles and honorifics are checked separately, as in titles and honorifics verification.

Photographs and personal information

A photograph and personal details in a biography are personal information. Say how they will be used and for how long, and ask your data protection owner how to word the request and where to store files.

Keep one approved biography and one approved photograph per speaker in a controlled folder, named by speaker and version.

A forum cutting biographies to fit a printed programme

Fictional organisation and figures, for illustration only.

A fictional association asks for a 60-word biography for print and a 150-word one for its website. Nine speakers reply on time. Two send 200 words. One includes an award the secretariat cannot find in the speaker's own materials.

The editor shortens the long ones, sends them back for approval and asks the third speaker to confirm the award or remove it. Nothing goes to print until each speaker has approved the final version.
