Hybrid breakout rooms without doubling the work

The conference has six parallel breakouts, and every stakeholder wants them all available online.

The short answer

Give breakouts different levels of remote support instead of treating them all the same. A small number can be fully hybrid, some can be viewable, and the rest can stay in the room.

The reason is workload. Each fully hybrid room needs its own moderator, speaker brief, camera and audio coverage and rehearsal, which multiplies quickly across parallel tracks.

Why breakouts are different from plenaries

A plenary is one stage and one team. Parallel breakouts are several small stages running at the same moment, each with its own speaker, chair and audience.

Anything you add to one room has to be repeated, or deliberately skipped, in every other room. That is where hybrid workload doubles without anyone noticing.

Workstreams that double, and how to avoid it

  • Speaker briefs: write one brief with a remote section, not two versions.
  • Moderation: one online moderator may cover two Level 2 rooms, but not two Level 1 rooms. Ask the supplier what they recommend.
  • Camera and audio: agree the same room setup across all breakout rooms where possible, so one team can reset them.
  • Materials: use one folder of slides with one release rule, see recording rights.
  • Programme text: use the same wording for the levels in every language you publish.

Decide how remote delegates choose

Remote delegates cannot walk between rooms, so they need a clear plan to choose a stream and switch. Ask the platform supplier how remote delegates select a breakout and whether they can change during the session.

Decide whether remote delegates pick a stream when they register or on the day. Registration choice helps you size moderators; on-the-day choice is more flexible.

Choose a limit before demand chooses for you

Set a cap on the number of Level 1 rooms in the same time slot, based on the number of online moderators and rehearsal slots you can actually staff. If the committee wants more, the choice becomes a budget decision, not a technical one.

The fictional Persatuan Perubatan Contoh runs 6 parallel breakouts in each of 3 time slots, so 18 sessions. Its committee sets a limit of 2 Level 1 rooms per slot, which means 6 fully hybrid sessions. It makes 6 sessions Level 2, 3 Level 3, and 3 on-site only because the speakers present case material.

The secretariat needs 2 online moderators per slot instead of 6, and one speaker brief template with a remote section. Delegates see the level next to each session title in the programme.

Questions organisers ask

Can one online moderator cover several rooms?

Sometimes, for watch-only rooms. For fully hybrid rooms with live participation, ask your platform supplier and test it in rehearsal before committing.

What if a speaker refuses to be streamed?

Keep the session at Level 4 and say so in the programme. A forced agreement often leads to a withdrawn talk or a weaker session.

Should remote delegates pick their stream in advance?

Advance choice helps you plan moderators and platform seats. If you allow on-the-day switching, confirm with the supplier how that works.
