A venue handback checklist for after the event

The last session has ended, the suppliers are packing, and someone needs to hand the rooms back in a way the venue accepts.

The short answer

A handback is a joint walk-through at the end of your booking period, using a list agreed before the event. Record the condition of each room, return keys and passes, remove everything you brought, and ask the venue to confirm in writing that the handback is complete or list what remains.

Photograph rooms before the event and again at handback, so any later query is about the same evidence.

Agree the handback before the event

Ask the venue when your hold on each room ends, who will do the walk-through, and what condition it expects. Put the end time of each room in your run-of-show so load-out is planned to fit.

Plan who from your team will be present. The person who signs should be able to speak for the organiser.

Record, do not argue, at the door

If the venue points out damage or missing items, write down what is said and take photos. Do not agree liability or cost on the spot; ask for the details in writing and compare with the contract terms and your own photos afterwards.

Close out the booking

  1. Send a thank-you and a request for written confirmation that the handback is complete.
  2. Ask the venue for the final account and its breakdown, and compare it with the booking terms.
  3. Claim back any supplier deposits and return lost-property items to their owners.
  4. File photos, the signed list and correspondence in your event folder for the next planner.

Worked example · Fictional example

A one-day conference handing back three rooms

Fictional organisation and figures, written to show the level of detail that is useful.

A fictional professional society books a main room, a breakout room and an office for one day, with the rooms due back at the end of the evening. Its project lead photographs all three before doors open and agrees with the venue that the walk-through starts when the last supplier leaves.

At handback, the venue duty manager notices a marked wall panel in the breakout room. The lead takes a photo, records the comment as observed, signs the key return list and asks for the details by email. The query is later settled against the contract and the pre-event photos.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • One room, a short booking and a venue contact who will do the walk-through with you.
  • You photographed the rooms before the event.
  • Few suppliers and everything leaves the same evening.

Outside planning help earns its fee when

  • Several rooms, suppliers and storage areas finish at different times.
  • The venue raises charges and you need the evidence and contract terms read together.
  • The people who set up are not the ones who will be there at the end.

Questions organisers ask

Do we really need to photograph the rooms?

Yes, it is the simplest evidence. Photograph each room before the event and at handback, with date and room name, so any query is about the same record.

Who should attend the walk-through?

Someone who can speak for the organiser and sign. A project lead or the event owner is usual. The person who knows where suppliers placed items should also be available.

What if the venue reports damage?

Write down exactly what is said, take photos, and ask for the details in writing. Compare with the contract and your pre-event photos before agreeing anything.

When should the checklist be agreed?

Before the event. Share it with the venue contact so both sides know what the walk-through covers and when each room is due back.
