Continuity and backup arrangements for your event

You rely on one person to carry the plan and want to know what happens if that person is unavailable.

The short answer

Continuity is something to agree in writing, not assume. A single independent project lead has limited cover by nature, so the useful question is what arrangements would let your team carry on if the lead were unavailable for a few days.

No existing backup team is claimed on this page. A named alternate exists only if one is agreed for your engagement and written into the scope.

What continuity cannot cover

A handover pack lets someone pick up the plan. It does not give a stranger the supplier relationships or the context of every decision. State what the alternate may decide and what waits for your decision owner.

Approvals, budget and relationships stay with you. That is also what makes continuity manageable.

Questions to ask before approving a scope

  • Who leads, and is anyone else named in the scope?
  • If the lead is unavailable, what is the notice period and who tells you?
  • Where are the files kept, and who in your team can open them?
  • How often is the handover pack refreshed?
  • What happens to the fee and the milestones if the lead is unavailable for an extended period?

Event-week arrangements

The days before and during the event carry the least tolerance for gaps. Ask for the event-week contact list, the run-sheet and the supplier call sequence to be in your hands a few days before, so your deputy can use them without the lead.

A fictional continuity agreement

A fictional professional-learning team engages a project lead for a two-day seminar. In the written scope, files sit in the team's shared folder, a handover pack is refreshed every two weeks and the team's coordinator is named as deputy.

No alternate lead is named, and the scope says so. Instead, the team and the lead agree that if the lead is unavailable, the coordinator runs from the pack and the decision log until the lead returns.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Your own team keeps the master plan and a project lead only advises.
  • The event is short and a gap of a few days would not affect any deadline.
  • You already have a deputy who knows the supplier files.

Outside planning help earns its fee when

  • One person would otherwise hold the plan with nobody else able to open it.
  • The event has fixed supplier deadlines that fall in a period of risk.
  • Your committee needs the continuity terms in writing before it approves a scope.
