The short answer

A sponsorship strategist helps you decide what you are offering, to whom, on what terms and how it will be delivered. A sponsorship salesperson approaches prospects and negotiates. They are different jobs, and the first usually has to come before the second.

What the committee decides first

  • What sponsors may and may not receive: logo placement, speaking slots, delegate lists, exhibition space.
  • Which categories of sponsor are not acceptable to your members or your professional body.
  • Who approves a sponsorship agreement and wording.
  • How sponsor benefits will be delivered and who tracks them.

When a strategic plan is enough to start

If you already have people in the committee who know sponsors and want to approach them, a clear framework may be all you need. Write it down, get it approved, then use your own contacts.

When a seller is the missing piece

If the package exists but nobody has the time or contacts to approach sponsors, you may need a person whose job is to sell. Treat that as a separate commercial arrangement with its own approval, and check that the agreement matches your sponsorship policy.

What coordination can do

A project lead can run the sponsorship workstream alongside the rest of the event: keep the package and approvals in the plan, check each promised benefit against the venue and programme, and keep a fulfilment tracker. Selling stays with the people you choose for that, and sponsor or revenue outcomes are not promised by anyone.

A fictional society separates the two jobs

The Persatuan Fiktif Jurutera Bangunan Hijau plans a one-day conference for about 280 delegates. A past president has said sponsors are easy to find and wants to start approaching firms.

The treasurer asks first for a framework: three sponsor levels, a list of benefits that fit the programme, a rule about competing firms and a named approver. Only after the committee approves it do two members start approaching firms from their own contacts.

  • Promises are being made before benefits are agreed.
  • Nobody has set the sponsor categories or approval routes.
  • Benefit delivery depends on the venue, programme and several suppliers.

Should we hire a seller before we have a package?
