Allocating sponsor speaking opportunities without selling editorial control
A sponsor wants a keynote, and the programme committee has just told you it will not sell the stage.
The short answer
Separate three things: sponsor presentation formats that are clearly labelled, programme sessions chosen by the committee, and thanks and introductions. Sponsors can buy the first, never the second.
Write the rule once, in the prospectus and in the agreement, so the answer to can we have a keynote is the same whoever is asked.
Three kinds of stage time

Rules to set before any slot is offered
- The committee approves every programme session. Sponsorship cannot secure one.
- Sponsor sessions sit outside the main plenary or are clearly separated in time and format.
- The organiser sets a brief: length, format, no direct sales claims, time for questions and any topics excluded.
- The organiser may ask to see slides or a summary in advance and may decline content that breaches the brief.
- A sponsor's customer or a sponsor-nominated speaker is judged against the same rule.
Handling the keynote request
If a sponsor's senior person is genuinely wanted on the programme, the committee can invite them as a speaker on merit, with no link to payment. Record that the invitation is separate from sponsorship.
If the committee declines, offer a labelled sponsor presentation or a partnership of a session that the committee has already designed.
Slot allocation without bias
- List the stage slots by format and length, and mark which are committee-controlled and which are available to sponsors.
- Decide the order in which sponsors choose, for example by tier, then record the decision in the inventory builder.
- Give each sponsor the same brief and the same deadline for content.
- Check each slot against category exclusivity so competing sponsors are not placed back to back by accident.
- Confirm the final run order with the committee.

A fictional forum separates its stage time

Forum Fiktif Pelaburan Berkelanjutan had a headline sponsor who asked for the opening keynote. The programme committee had already drafted its opening session on a policy topic.
The secretariat offered the sponsor a 20-minute labelled presentation after lunch, a named partnership of the afternoon workshop track, and a seat on the committee's list of speakers to be considered on merit. The committee later invited a different speaker from the sponsor's industry body and the sponsor was told how that decision was made.

Can a sponsor ever give a keynote?
A sponsor's person can be invited as a speaker if the programme committee wants them on merit. The invitation must not depend on payment, and the committee records that.
Should sponsor sessions be marked as such?
Yes. Mark them in the programme, signage and introductions so delegates can tell sponsor content from committee-selected content.
Can we review a sponsor's slides?
State in the agreement that the organiser may review content in advance and decline anything outside the brief. Agree the deadline for submission at the same time.
