Event shipment delivery tracking

Boxes of printed programmes and banners are on their way to the venue, and nobody can say who will sign for them or where they will be kept.

The short answer

Track every shipment on one log that records what is being sent, who sends it, who receives it at the destination, where it will be held and by when it must be on site. Update the log from the carrier's own tracking or written confirmation, and label any date you have not confirmed.

The organiser does not predict transit times. Ask the sender or carrier to state a delivery window in writing, and agree with the venue what happens if parcels arrive earlier or later than the window it accepts.

Settle receiving before anything ships

  • Whether the venue or hotel accepts deliveries, on which days, and whether it charges for holding items.
  • The exact receiving address and the name the parcel must carry.
  • Who signs for the shipment and what they check on receipt.
  • Where items are stored and who has access.
  • The latest date by which each item must be on site for the programme to use it.

Receiving checks

  1. Check the count of boxes against the log before signing.
  2. Note visible damage on the delivery record and photograph it.
  3. Open one box per item type early enough to correct a problem.
  4. Update the log with what was received and the time.
  5. Tell the programme owner when items needed for the first session are confirmed on site.
  6. For equipment that must be returned, log the return date and who arranges it.

Crossing cities or borders

If items cross a border, the sender or freight forwarder must say what documents and charges apply. Put the question in writing and do not state requirements yourself.

Tracking printed programmes and banners to a venue

Fictional organisation and figures, for illustration only.

A fictional chemical-industry forum sends 12 boxes of printed programmes and two banners from a printer to a hotel venue. The secretariat logs both shipments, asks the printer for its delivery window in writing and asks the hotel to confirm the receiving name and the days it accepts deliveries.

When the boxes arrive, the hotel's named receiver counts 12 boxes and notes one damaged corner. The coordinator photographs it, opens that box, updates the log and tells the printer the same day.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A few parcels to one venue with a receiving contact already named.
  • Someone from the committee is on site when they arrive.

Outside planning help earns its fee when

  • Many shipments from several senders to more than one location.
  • Items are critical to the programme and nobody on site can receive them.
  • Cross-city or cross-border movements need a named coordinator at both ends.

Need shipments tracked to the door?

A conference project lead can set up the log, agree receiving arrangements with the venue, ask senders and carriers for written delivery windows, follow tracking and run the receiving checks on site. Questions organisers ask

How early should items arrive?

Ask the venue what it accepts and the programme owner when each item is needed, then agree a window in writing. Do not rely on an estimate.

Who signs for deliveries?

One named person at the venue or the event, with a back-up, who counts and checks before signing.

What if parcels arrive damaged?

Note it on the delivery record, photograph it, tell the sender or carrier the same day and log the action.

Do we need paperwork for items from abroad?
