Event sponsor logo approval workflow
Three sponsors have sent logos in five different file types, and the backdrop proof goes out on Friday.

The short answer
Approve each sponsor logo through one written route: the sponsor supplies the master files, the event owner checks them against the signed entitlements, and the sponsor signs off the proof showing where and how the logo appears.
Record the file version against each approval, so a replaced logo reopens the approval instead of slipping in unchecked.
Separate three questions
A logo approval answers three different questions. Is it the right file, is it in the right place, and is the organisation allowed to use it this way.
The first two are the event team's work. The third belongs to the sponsor's brand contact and, for rights questions, to a legal adviser.
The placement register
List every place a sponsor logo will appear and tie it to the entitlement in the signed agreement. The register is the document you check proofs against.

Version control for logos
- Ask each sponsor for one named contact who sends and approves logo files.
- Save the master file with the sponsor name, version and date in the file name, and record it in the register.
- Quote the version on every proof, so the sponsor signs a specific file.
- If a sponsor sends a new logo, mark all earlier approvals for that sponsor as reopened until each affected placement is rechecked.
- Use the materials and translation-version checker to see which copies are stale or unapproved.
Ordering and size follow the signed entitlements
The tier order, relative size and exclusivity of logos should come from the agreement, not from whichever file looks best. Where the agreement is silent, ask the sponsor and record the answer as an addition. See co-branding hierarchy for how to set the hierarchy first.

- Who owns the logo and who may authorise its use on our materials?
- Is there a brand guideline we must follow, and who confirms we have followed it?
- May we alter colour, crop or place the logo on a photograph or pattern?
- May the logo appear in recordings, press material and social posts, or only in printed items?
- Does the agreement allow a co-branded lockup, and who approves it?
- How long may the logo stay online or in archived material after the event?
- These are questions for a legal adviser to answer. The event team does not interpret trademark or licence terms.
Worked example · Fictional example
A fictional fintech forum with five sponsors
Fictional organisation and figures, illustrative only.
A fictional fintech association's forum has five sponsors and four logo placements. The register showed one sponsor had sent a bitmap of 300 pixels wide, which would blur on the backdrop, so the event owner asked for a vector file before the proof date.
A second sponsor replaced its logo after rebranding. The older approval was marked reopened, the booklet and website were rechecked, and the signed proof carried the new version date.

- Many sponsors, many placements and several suppliers producing materials at once.
- Logos keep changing or arrive in unusable formats close to print dates.
- Sponsors dispute order or size and nobody owns the response.

Questions organisers ask
Which logo file formats should we ask for?
Ask your printer and screen suppliers what they need, then ask sponsors for those formats by name. A vector master plus a screen version covers most cases.
Can we resize or recolour a sponsor logo to fit?
Ask the sponsor's brand contact in writing before changing anything. Many sponsors supply a one-colour version for exactly this reason.
Who decides logo order when two sponsors disagree?
The signed agreements decide, and the event owner confirms. If the agreements are unclear, escalate the question to whoever signed them, not to the printer.
