Choose the right organising model

Event project manager or temporary administrator?

Your team is overloaded with event work and someone has suggested bringing in temporary help.

The short answer

A temporary administrator takes clerical and organising tasks off your team under your direction: mailing, data entry, filing, confirmations and diary management. An event project manager takes responsibility for the plan and its decisions.

Sort the workload first. If it is mostly tasks someone on your team could explain in an hour, an administrator fits. If it is mostly open questions, a project manager fits.

When an administrator is enough

  • The plan is settled and the bottleneck is volume of routine work.
  • One internal person is the clear decision owner and has time to brief the administrator.
  • The task list can be written down in a few lines per task.

When you need a project manager

  • Questions are open: dates, format, venue, supplier scope or who approves.
  • The person briefing the temporary helper would be guessing the answers.
  • Finance needs a record of choices and the budget position.

Both together

A project manager can set up the tasks and the files so that an administrator is productive from the first day. This works best when responsibilities are listed and the decision owner is named.

Who should not buy outside help

If the workload is a short peak and your own team can write the instructions, borrow capacity from another department. Compare the lighter project manager and coordinator split before spending.

A fictional secretariat sorts its workload

The Persatuan Fiktif Pengurus Logistik has a conference in four months. Its secretary lists 60 outstanding items.

Thirty-five are routine tasks with clear instructions; 25 depend on decisions from the council. They arrange administrative help for the 35 and ask for a decision log and owner for the 25.

Your team can usually handle this when

  • Most items are routine and can be written as instructions.
  • A decision owner exists and is available.
  • The need is for a short peak of hours.

Outside planning help earns its fee when

  • Many open questions have no named owner.
  • Finance needs scope and cost choices recorded.
  • The temporary helper would need judgement, not just instructions.

Questions organisers ask

Can an administrator manage the project?

Only if they are given the plan and the authority to run decisions. That is a project manager's role, so scope it as one.

Is a temporary administrator an employee?

That depends on how the arrangement is made. Settle the contractual basis with the provider and seek professional advice if needed.

Can a project manager do the admin too?

They can for a small volume, but their hours are better spent on decisions and oversight.
