Planning consultancy or event-day coordination?

You have budget for outside help and need to decide whether it goes into the months before the event or the days of it.

The short answer

Planning consultancy works on the months before: scope, timeline, supplier requirements, decisions and documents. Event-day coordination works on the day: people, timing, suppliers on site and problems as they arise.

Most event-day problems start as planning gaps. If your plan is thin, spend on planning first. If the plan is solid and the day involves many moving parts, add day coordination.

When planning support is the priority

  • Format, venue or supplier scope is still open.
  • The responsibility list does not exist or is out of date.
  • Quotes arrive in different shapes and cannot be compared.

When day coordination is the priority

  • The plan and supplier files are complete and agreed.
  • The event has several rooms, entrances or timed segments.
  • Your own team will be hosting guests and cannot also run the logistics.

Agree on-site scope in writing

If day coordination is included, record the hours, the person's authority to make small decisions, escalation contacts and what the venue and suppliers remain responsible for. Safety and crowd-capacity questions belong to the venue and competent authorities.

Who should not buy outside help

A single-room seminar with a settled plan and a venue team that already runs the room may need neither. Use a run-of-day responsibility table and brief your own staff.

A fictional forum splits its budget

The Fiktif Property Council holds a one-day forum with two rooms and a lunch for about 220 guests. It has no written plan.

It spends first on planning, then decides on coordination after seeing the run documents. The planning pack shows two timed segments that need a named person on the day.

  • The venue team already runs the room.
  • The day is a single room with simple timing.

Outside planning help earns its fee when

  • The plan is thin and decisions are open.
  • Several rooms or timed segments need one person watching the clock.
  • Your team is hosting and cannot also coordinate suppliers.

Questions organisers ask

Can I just hire someone for the event day?

Yes, but they will be working from whatever plan exists. Give them run documents and supplier contacts in advance.

Does planning support include being on site?

Only if the scope says so. Agree attendance, hours and authority in writing.

Which should I do first if budget is limited?
