Event lead end-of-engagement handover

The engagement ends on Friday, and the event team is not sure what is finished, what is open and who now owns each supplier.

The short answer

An end-of-engagement handover records what is finished, what is open and with whom, where every file lives, which access is removed and who now speaks to each supplier. It is built during the last two weeks, not on the last day.

Open and uncertain items stay visible in the pack. A handover that hides loose ends only moves the problem to the next person.

Build the pack in the last two weeks

Do not request employer source documents or attendee lists as part of the handover. Point to where they are held.

Introduce, do not abandon, suppliers

  1. Tell each supplier the date the lead's involvement ends and who their contact becomes.
  2. Hold a short call or email introduction between the lead and the new owner for each critical supplier.
  3. Confirm the next deliverable and date with each one in writing.

Close access and records

  • Remove every system access listed in the access checklist and have each owner confirm.
  • Move the event email alias, shared folders and calendar entries to the new owner.
  • Archive working notes in the shared folder rather than a personal one.
  • Hold a final review with the sponsor to sign off the pack.

Contract and employment questions

What obligations continue after the engagement, such as confidentiality or return of materials, depends on the terms you agreed. Ask HR or your legal adviser, and put the answers into the handover list rather than assuming them.

A trade association's annual convention

Fictional organisation and figures, to show the level of detail that is useful.

A fictional trade association engages a lead for an annual convention for about 600 delegates. The engagement ends two weeks after the event, once the post-event tasks are done.

In the final fortnight the lead completes the pack with 14 open items, introduces the venue and print supplier to the secretariat, and moves the alias to the communications officer. IT confirms access removal on the last day and the sponsor signs off the pack at a closing meeting.

Handle it in-house, or bring in help?

  • One colleague will take over every thread.
  • The event is complete and few items remain.

  • The lead's inbox holds decisions that were never logged.

Questions organisers ask

When should the handover start?

Two weeks before the end is a practical minimum, and earlier for a large event. Starting on the last day leaves no time to confirm anything.

Should the lead hand over personal data?

No data is copied into the pack. Link to where it is held and let the data owner decide who has access.

What if items are still unresolved?

List them with owner and date. A visible open item is more useful than a pack that looks finished.
