Coordinating accreditation evidence with the responsible body

When a meeting seeks professional learning credit, the evidence trail starts months before the event and the professional body, not the organiser, decides what counts.

The short answer

Accreditation, continuing education or credit decisions belong to the responsible professional body or accrediting committee. The organiser's task is to ask what evidence is required, in what form and by when, then collect it from speakers, sponsors and registration without altering the content.

Start with a written evidence request from the body, turn it into a log with an owner and a due date per item, and send each item for the body's own review before the event.

Start from the body's own request

Ask the responsible body for its application guidance, forms, deadlines, fees and the evidence it expects after the event. Use the current documents from the body itself, not a colleague's summary from a previous year.

Ask who at the body is the single contact and how changes to the programme after submission are notified.

Typical evidence types to ask about

  • Programme, session titles and timings as submitted.
  • Learning objectives or equivalent statements, written by the speaker or programme owner.
  • Speaker details and any declarations the body requires.
  • Sponsor and funding disclosures in the form the body specifies.
  • Attendance records per session, and how they are captured.
  • Participant evaluation, if the body requires it.
  • Post-event reports and the date they are due.

Protect the line between records and decisions

An attendance certificate shows that someone came. Whether credit is awarded is the body's decision, as covered in separating attendance certificates from professional accreditation. Do not print credit wording on certificates or the programme until the body has confirmed it in writing.

A fictional specialty society congress

Fictional organisation and figures, for illustration only.

The fictional Persatuan Pakar Contoh plans a two-day congress with 24 sessions. The secretary writes to the body four months ahead and receives the guidance and a deadline for the programme submission.

The log shows 24 sets of learning objectives, 31 speaker declarations and one attendance method per room. By week six, 20 objectives are in, four are late and two speakers have not returned declarations.

A keynote swap in week ten is reported to the body's contact the same day, and the log records the date and the answer.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A single session type and a body whose forms the secretariat already knows.
  • One named officer holds the relationship with the body.
  • Few speakers and short lead time to collect declarations.

Outside planning help earns its fee when

  • Many sessions, several bodies or different forms for different professions.
  • Evidence arrives late from speakers and sponsors and nobody is chasing.
  • Programme changes happen after submission and need to be reported on time.

Questions organisers ask

Can the organiser tell speakers what the body requires?

Only by passing on the body's own wording. If the wording is unclear, ask the body.

What if the body asks for something we cannot capture?

Tell the body early and ask for the accepted alternative. Do not improvise a substitute.

Do we promise credit in marketing?

Only wording the body has confirmed in writing. Until then, say that an application is being considered, if that is accurate.

How long should we keep the evidence?

Ask the body and your records policy. Record the answer in the log.
