The hybrid that suits most professional series
Register once for the series and ask for a light confirmation before each session, such as a reply or a click in the reminder. This keeps one record per person and gives a realistic head count a few days ahead.
Anyone can drop out of a single session without leaving the series.
Data questions to settle before the form is built
- What is the least information needed to run the series? Name and organisation are often enough.
- Which details are needed once (membership number, role) and which per session (questions for the speaker)?
- How long will the list be kept after the series ends, and who deletes it?
- Who sends reminders: the secretariat, the platform or an outside supplier?
- Will attendance be used for professional development records? If so, ask the accrediting body what it needs.

- Choose the model and write the reason in the series brief.
- Agree the fields and mark each as required or optional.
- Decide the reminder schedule and who approves wording.
- Decide how the attendance list is reconciled after each session.

Persatuan Fiktif Pengurus Fasiliti ran an eight-session monthly series. In the first season members registered per session, and the secretariat found about one third of those at session one never appeared again.
For the second season it moved to one registration with a confirmation click three days before each session. The head count it reported to speakers became more reliable, and it kept one list instead of eight.
