Managing sponsor commitments across a webinar season

A sponsor has agreed to support the whole season, and the promises made at signing are now spread across eight sessions.

The short answer

Treat each sponsor commitment as a dated line item: what was promised, in which session, who delivers it, who approves it and what evidence shows it happened. Keep these lines in one ledger the whole team can read.

Turn the sponsor agreement into a delivery ledger

Read the signed agreement with the secretariat and list every obligation in plain words. Separate promises about the season (logo on the series page) from promises tied to a session (a two-minute remark in session three).

Anything vague, such as prominent placement, becomes a question to the sponsor and the secretariat before the first session.

Keeping the commitments and the programme apart

  • The programme committee owns topics and speakers; the sponsor does not choose them unless the agreement says so in a defined way.
  • The sponsor contact has one named person at the secretariat.
  • Sponsor mentions use agreed wording, read by the host as written.
  • Changes to the date or format are told to the sponsor in writing as soon as they are known.

Review points through the season

  1. Before session one: walk the sponsor through the ledger and confirm contacts.
  2. After each session: update what was delivered and attach evidence such as a screenshot or the slide.
  3. Mid-season: compare delivered and remaining, and agree any change in writing.
  4. Season end: give a short report listing each promise and its status.

A sponsor supporting an eight-session season

Persatuan Fiktif Jurutera Alam Sekitar signed an agreement with a fictional equipment company to support eight sessions. The agreement said the sponsor would have a speaker in two sessions and a logo on all slides.

When the secretariat built the ledger, it found the speaking slots were not tied to dates. The secretariat and sponsor agreed sessions three and seven, and the sponsor's speaker was briefed on the same editorial rules as other speakers. One session moved by two weeks, and the ledger showed the sponsor had been told in writing.

  • The secretariat head handles the sponsor contact directly.
  • Promises are limited to logo placement and a mention.

Outside planning help earns its fee when

Questions organisers ask

Can the sponsor choose the topics?

Only if the agreement says so in a defined way, such as suggesting topics the committee may accept or decline. Otherwise the programme committee decides.

What if a session is cancelled or moved?

Tell the sponsor in writing straight away and record what happens to the promises tied to that session. Agree any replacement before the next session.

Can we share the attendee list with a sponsor?

Check the sign-up notice and ask your own data protection lead. If the notice did not cover it, do not share the list.
