Event member registration verification

Member rates and member-only sessions depend on membership, and someone has to check it without slowing everyone down.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

The short answer

Member verification needs a source of truth, a moment to check, a named person who decides exceptions and a way to protect the list. The source is usually the membership list held by the secretariat, matched on a membership number plus name or email.

Check before confirmation if the member rate or access matters, and accept that this adds a step. Check after confirmation only if you are prepared to re-price or move delegates found ineligible.

Choose how verification works

MethodHow it worksTrade-off
Manual check against the listThe secretariat compares each member registration with the membership list.Accurate, but slow at volume and needs a named checker and cover.
Membership number on the formDelegates enter a number, checked by hand or by a rule.Fast to set up, but numbers can be shared or mistyped.
Email match to the listRegistration email matched against member emails.Misses members using another address and needs the list loaded safely.
Member-only code or linkMembers receive a code from the association.Easy for delegates, but codes can be forwarded.
Self-declaration with later auditDelegate ticks member; the secretariat spot checks.Lowest friction, with a clear rule for re-pricing found cases.

Decisions to settle first

  • The date on which membership is judged: registration, payment or event day.
  • How lapsed or pending renewals are treated, and who may grant a grace period.
  • Who decides exceptions, such as honorary members or a colleague of a corporate member.
  • What happens when a registrant is not found: wait for review, offer the non-member rate, or ask for evidence.
  • How quickly checks are done, since delegates waiting for confirmation may drop out.

Protect the membership list

A membership list is personal data held for another purpose. Ask your data protection contact how it may be used for checking, where a copy may be kept, who may see it and when it should be deleted. Prefer to check against the list where it is held rather than copying it into the registration system.

Give checkers only the columns they need. See export permissions for roles.

A simple verification routine

  1. Registration arrives with category set to member and a membership number.
  2. The checker looks up the number and compares the name.
  3. If matched, mark verified with the date and checker's initials.
  4. If not matched or unclear, hold the registration and send the delegate a short, neutral message.
  5. If still unclear after the agreed period, pass it to the person who decides exceptions.

Worked example · Fictional example

A secretariat verifies members for a members-only session

Fictional organisation and figures, written to show the level of detail that is useful.

Persatuan Fiktif Pegawai Pematuhan receives 95 member registrations in a week for a member-priced seminar. One checker, with a named cover, compares each membership number with the list and marks verified.

Seven cannot be matched. Four turn out to be renewals processed late, which the membership secretary confirms. Three are colleagues of a corporate member and are passed to the chair, who decides they register at the non-member rate. Delegates are told within the agreed period.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The list is small and held in one place by one person.
  • Registrations arrive at a pace one checker can handle.
  • The committee has already agreed how exceptions are decided.

Outside planning help earns its fee when

  • The list is large, or held by chapters and a head office separately.
  • Many registrations arrive in a short window and checks delay confirmation.
  • Member eligibility has been disputed at previous events.

Need member checks run without delaying registration?

A conference project lead can set the verification routine with your membership team, handle the checking rhythm during busy weeks and bring exceptions to the committee. Questions about how the membership list is used and held stay with your data protection contact.

Questions organisers ask

Should we verify members before or after they pay?

Before confirmation avoids refunds and re-pricing, at the cost of an extra step. Decide once and state it on the form.

Can we load the membership list into the registration system?

Ask your data protection contact first. It is personal data held for another purpose, and where it is copied, who sees it and how long it stays are questions for them.

What if a member forgot their number?

Define a fallback, such as a match on name and email by the checker, and who may approve it.

How do we deal with a delegate who claims to be a member but is not on the list?

Use a neutral message offering to confirm with the membership secretary or to register at the non-member rate, as your committee has decided.
