Managing seating, dietary requests and staff guests at an annual dinner

The short answer

Collect needs once, on one form, with a closing date and one named person who passes a clean list to the venue. Treat seating and guests as policy decisions made by HR and the sponsor before the plan is drawn, not by the person holding the floor plan.

Design one dietary and access form

Ask what staff need rather than what label they use: any food they cannot eat, allergies or intolerances, whether they need food prepared to a religious standard, and any access or seating needs. Add a free-text field and a line saying who will see the answers.

Explain that the information is for catering and access only. Ask HR how the responses should be stored and who may see individual names.

Plan seating as a policy, then a plan

  • Decide the rule first: free seating, mixed teams, hosted tables with leaders, or seated by site.
  • Reserve places for people with access needs and let them choose where they sit within those options.
  • Place guests near the colleague who invited them unless the sponsor wants mixing.
  • Keep the chart editable until a set date and say who may change it.

Decide the guest policy before invitations

State whether partners, guests or contractors are invited, who decides exceptions and how they confirm. Ask HR how guests' dietary and personal information should be handled and who sees it.

Tell staff what the rule is and by when they must confirm, so late requests do not reopen the plan.

A fictional firm cleans up its dietary replies

A fictional property company with about 180 staff previously collected requests by email and chat. Two requests were lost and one allergy was passed to the venue only on the day.

This year HR uses one form, closes it two weeks before the event and sends the venue a single table. The venue replies in writing on halal arrangements and allergy handling, and HR keeps that reply with the contract. Seating is set as mixed teams with hosted tables for leaders, and the plan locks on a stated date.

The venue or caterer and the relevant certifying or health authority, not the event team. Ask for written confirmation and keep it on file.

Should staff choose seats?

It depends on the purpose. Agree the rule with the sponsor first, then apply it evenly.

How do we handle late dietary changes?

Agree a last-change date with the venue and tell staff. After it, handle only urgent medical cases through one named person.
