Handing AGM records back to the authorised organisation

The short answer

AGM records belong to the association. After the meeting, the event team lists what it holds, hands each item to the named record-holder, gets an acknowledgement, and deletes or destroys its own copies only as the association instructs.

Do this within a date agreed before the meeting, so records are not left in a supplier inbox or a shared folder.

What counts as an AGM record

Typical items are sign-in sheets, proxy forms, ballots or electronic vote exports, the final agenda and papers, any recording, notes taken at the table and the list of attendees. Which of these the association must keep, and for how long, is for the secretary and its adviser to say.

A sequence for the hand-back

  1. Before the meeting, ask the secretary who will hold each category of record, in what format and by when.
  2. Immediately after the meeting, collect every item at the desk and the room, and seal paper items in a labelled envelope or box.
  3. List the items in a transfer log with quantity and format.
  4. Hand over to the named person and obtain a signed or emailed acknowledgement.
  5. Ask suppliers who hold copies, such as the AV or platform supplier, to confirm in writing what they hold and delete as instructed.
  6. Close the folder: record date, who received it, and any copies kept with the association's permission.

Pitfalls

  • Records left in the event team's email or a personal phone.
  • No acknowledgement, so a missing item has no trail.
  • Keeping a recording for promotion without the association's decision.
  • Throwing away proxy forms or ballots before the association confirms retention.

A fictional association collects its records

Fictional organisation and figures, for illustration only.

After an AGM of 190 attendees, the registration team of the Persatuan Fiktif Arkitek Landskap holds two sign-in sheets, 24 proxy forms and a laptop with the attendee list. The platform supplier holds a recording.

The secretary asked in advance for everything within five working days. The event lead seals the paper items, sends the transfer log, and asks the supplier to confirm deletion after the association has copied the recording. The secretary acknowledges receipt by email.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The secretary collects everything in the room personally.
  • Few records and no external supplier holds copies.
  • The association already has a records procedure.

Outside planning help earns its fee when

  • Several suppliers hold copies, such as AV, platform, photography.
  • Vote materials or recordings are involved.
  • The previous AGM left records in several places and nobody can find them.

Questions organisers ask

Can the event team keep a copy of the attendee list?

Only if the association agrees in writing. Otherwise, hand it over and delete the event-side copies as instructed.

Who owns the recording?

Ask the association. Agree this with the supplier before the meeting, including deletion and any use after the event.

How long should records be kept?

The association sets retention under its constitution and any law that applies. The event team follows the instruction.
