Planning reusable event signage

Your event needs registration, wayfinding and session signs, and you would like them to be used again instead of discarded.

The short answer

Plan reuse before the signs are ordered: design them without dates or year-specific details, list each sign in an inventory with a named storage owner, and check venue rules for how signs may be fixed. Reuse only counts if the signs are stored, labelled and used again.

Record how many signs were produced, how many were kept and how many were reused next time, in the evidence tracker. Do not claim savings you have not counted. The wider record sits in the material reuse register.

Design for the second use

  • Keep the event name and date off signs that are meant to be reused. Use a changeable panel, insert or sticker for anything that varies.
  • Choose a size and format that fit the stands or fixings you already have.
  • Give each sign a short code so it can be matched to the inventory and the storage box.
  • Keep text readable at a distance. For accessibility needs such as contrast, size and tactile signs, ask a competent accessibility adviser rather than deciding it internally.

Questions for the venue and the sign supplier

  • What fixings are permitted on walls, ceilings and floors, and who approves them?
  • Can the venue store signs between events, and at what cost? If not, where will they go?
  • Which materials can the supplier reuse or take back, and in what condition?
  • Can the supplier provide a list of items with codes and dimensions?
  • Who is responsible for taking signs down and checking their condition after the event?

Sequence

  1. List every sign needed and mark each reusable, partly reusable or single use.
  2. Brief the sign supplier on date-free design and codes.
  3. Name the storage owner and location before the event, not after.
  4. Check each sign when it is taken down and record its condition.
  5. Update the register so the next team can find and use the signs.

Worked example · Fictional example

Signs for a one-day regional forum

Fictional organisation and figures, for illustration only.

A fictional trade forum plans 14 signs. Six are date-free desk and wayfinding signs, two are stage panels with a changeable title strip, and six are sponsor signs that return to the sponsors.

The operations lead stores the eight reusable signs in labelled boxes at the association's own office. Afterwards the register shows 14 produced, eight kept and six returned. Future reuse is marked not yet measured until the next event uses them.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The sign list is short and one person can own storage and the inventory.
  • The same venue or a similar one is likely next time.

Outside planning help earns its fee when

  • Many suppliers and venues each set their own rules for fixings and storage.
  • Signs must be coordinated across several rooms, exhibitors and sponsors.
  • Design, accessibility questions and supplier requirements need to be written into one plan.

Questions organisers ask

Which signs are usually worth reusing?

Date-free desk, directional and room signs tend to be easiest, because they carry no year or sponsor details. Check against your own list instead of assuming.

Who should store the signs?

Name one person and one place before the event. Ask the venue whether storage is possible and on what terms, and record the answer.

Can we say reusing signs reduced our environmental impact?

Only report what you counted, such as signs produced, kept and reused. Any wider claim should go through the claim review first.
