Managing sponsor conflicts at a multi-vendor forum

Several vendors in the same market fund your forum, and each reads the programme to see whether a rival got a better deal.

The short answer

Write down sponsor categories, benefits and programme rules before any sponsor signs, and apply them in the same way to every vendor. When a conflict appears, check it against the written rule first, then escalate to a named decision-maker.

A neutral programme

Sessions chosen by a content committee read differently from sessions that were bought. Say in the programme which is which, and keep sponsor-hosted sessions visibly separate from the main agenda.

Where a sponsor talk is part of a benefit, agree the length, topic limits and review step in the sponsor agreement.

When a conflict arrives

  1. Record the complaint, the sponsor, and the benefit or rule involved.
  2. Check it against the written rule and note the clause.
  3. If the rule covers it, reply with the rule and the date it was agreed.
  4. If it does not, escalate to the named decision-maker and offer a response time.
  5. Log the outcome in a decision log and update the rules for the next edition.

Keep the conflict register

A short register shows patterns, such as repeated requests about booth placement, and helps the committee fix the rule rather than the symptom.

A fictional rival-sponsor request

A fictional cybersecurity forum has two competing endpoint-security vendors as gold sponsors. Each has a 20-minute session in the afternoon.

One vendor asks for the later slot because delegates are said to stay longer. The rules say slots are assigned by draw within the tier, so the organiser holds the draw with both vendors' representatives present. The second vendor then asks to include a slide comparing itself with the other. The programme chair declines under the content rule and sends both sponsors the same written reminder.

That is a commercial and legal decision for your committee. If you offer it, define the category clearly in writing.

Should sponsor sessions appear in the main agenda?

Many forums label them clearly and keep them separate. Decide with the committee and say so in the programme.

How do we handle a sponsor who complains publicly?

Reply privately first with the written rule. Agree who speaks for the organiser if it becomes public.

Who should hold the draw for slots?

A neutral person, with representatives of the affected sponsors present, and a record of the result.
