What must be agreed before arrival day

Plan around arrival waves
Collect expected arrival windows from guests, group them into waves, and share the pattern with the hotel. A desk that knows a heavy hour is coming can staff for it.
Keep early-arrival requests separate. Record who asked, for which room and what the hotel answered, so promises are not made informally.
Rooming list handling

Arrival day roles
- One organiser team member is the single contact for the hotel front desk.
- A second person handles guest questions by message or at a welcome point.
- Both hold the same rooming list version, timestamped.
- Problems such as an unavailable room go to the hotel duty manager first, then to the escalation person you agreed in advance.

Institut Fiktif Pengurusan has 36 rooms in a hotel for a two-day summit. Guests give arrival windows at registration, and the secretariat groups them into three waves.
The hotel confirms in writing that standard check-in applies and that early check-in is subject to availability on the day. The secretariat tells guests exactly that, sends the rooming list to the reservations contact two working days before, and appoints one person to meet the duty manager at the first wave.
